Cookie Policy

How FRAI uses cookies and similar technologies.

1. What Are Cookies?

Cookies are small text files that are stored on your device (computer, smartphone, etc.) when you visit a website. They contain information that is transferred to your device’s memory or hard drive. Cookies serve various purposes: they can make websites work more efficiently, remember your preferences, and provide information to the site owners about how people use the site. Besides cookies, we may also use similar technologies like local storage or pixels. In this policy, for simplicity, we refer to all such technologies as “cookies.”

2. How We Use Cookies

FRAI uses cookies to enhance your experience and to collect usage data for improving our services. Specifically, we use cookies for:

  • Essential Functions: Some cookies are necessary for the website to function properly. For example, if our site has a login or a form that spans multiple steps (currently our site is mostly informational, but if we use session cookies for the chat to remember the conversation state), those require cookies. These cookies enable core features like security, network management, and accessibility. They do not collect personal data for marketing.
  • Preferences: We might use cookies to remember your language selection. Since our site is in English, Spanish, and Italian, a cookie might store which language you chose so that on your next visit, we direct you to the correct version. This is purely for convenience (for instance, remembering that you prefer the "/en" English site so you don’t always have to switch from Spanish).
  • Analytics: We use analytics cookies to understand how visitors interact with our site. This helps us improve content and design. We have three analytics tools mentioned: Google Analytics, Matomo, and Umami.
    • Google Analytics (by Google) places cookies to track page views, clicks, and other usage metrics. These cookies have names like _ga and _gid and help distinguish unique users (anonymously, without identifying you personally). They can persist for a period (e.g., _ga can last 14 months if not deleted). We have configured Google Analytics to anonymize IP addresses (so the last digits of your IP are masked) to enhance privacy.
    • Matomo is an open-source analytics platform which we host ourselves. Matomo can either use cookies or operate in a cookieless mode. If cookies are used, they would store a unique visitor ID and remember your preferences (like opting out). We primarily use Matomo to get insights similar to Google Analytics but with data stored on our own server in the EU.
    • Umami is another privacy-focused analytics tool we run. By default, Umami does not use cookies at all, instead it tracks aggregate analytics by assigning a random identifier per visit (in memory). If this remains true in our implementation, Umami will not place any cookies on your device. It will still collect basic usage data (page hits, referrers, etc.) but without cookies or personal identifiers.
  • Chat Session (if applicable): Our AI chat widget might use a cookie or local storage to keep track of your chat session ID. This ensures that as you navigate the site or if you accidentally refresh the page, you don’t lose the conversation context and can continue where you left off. This kind of cookie would be a functional cookie, only active during the session or a short time, and not used to track you beyond the chat interaction.

3. What Cookies We Use

We want to be as transparent as possible. Below is a summary of cookies that may be set by our website and third-party tools, categorized by their purpose:

Essential Cookies

  • SessionID (example name) – Purpose: Maintains your session on the site (e.g., remembering inputs across form pages or keeping the chat state). Lifespan: Expires when you close your browser. Provider: FRAI (first-party).
  • cookie_consentPurpose: Remembers your cookie preferences (whether you accepted or rejected certain cookies) so we don’t ask you every time. Lifespan: 1 year. Provider: FRAI.

Preference Cookies

  • languagePurpose: Saves your language selection (en/es/it) so the site can load in your preferred language by default. Lifespan: 30 days. Provider: FRAI.

Analytics Cookies (3rd Party)

  • _ga (Google Analytics) – Purpose: Used to distinguish users for analytics (anonymously). Lifespan: 14 months (reset on new visits).
  • _gid (Google Analytics) – Purpose: Used to distinguish users on a day-by-day basis. Lifespan: 24 hours.
  • _gat (Google Analytics) – Purpose: Used to throttle request rate (limit the collection of data on high-traffic sites). Lifespan: 1 minute.
  • _GA<property-id> and other cookies may be set by Google as part of GA4.
  • matomo_session (Matomo) – Purpose: If Matomo uses a session cookie to group page views from the same visit. Lifespan: Session. Provider: FRAI (self-hosted Matomo).
  • matomo_id (Matomo) – Purpose: If used, this cookie would identify returning visitors (with an anonymous ID). Lifespan: 13 months (configurable). Provider: FRAI.
  • (If we run Matomo in no-cookie mode, these will not be used.)
  • Umami – As noted, Umami analytics doesn’t use cookies, so no Umami cookies should appear in your browser. It collects data via script without cookies.

Please note: The exact names of cookies and lifespans may change as we update our tools. We will maintain an updated list here. Also, third-party providers like Google Analytics may change their cookies — we will reflect any major changes as needed.

4. Cookie Consent and Control

When you first visit our site, we display a cookie banner (or pop-up) asking for your consent to place cookies (except strictly necessary ones). You can choose to "Accept All", "Reject All", or customize your choices (e.g., allow only certain categories like preferences but not analytics).

  • Essential Cookies: These are enabled by default because the site cannot function properly without them. We do not require consent for strictly necessary cookies.
  • Analytics Cookies: These will not be set unless you actively opt-in by clicking "Accept" on the banner or enabling analytics in preferences. If you choose to reject or ignore the banner, we will assume no consent and will not load analytics cookies. (Our Matomo and Umami tools will honor this – Matomo can be configured to respect the Do-Not-Track browser signal or a consent parameter, and Google Analytics is only loaded after consent on our site.)

Managing Cookies:

  • On our site: You can always change your preferences by clicking a "Cookie Settings" link (usually in our website footer). This will reopen the consent banner or a settings panel, allowing you to modify which cookies you accept.
  • Browser settings: Additionally, you can control cookies through your web browser. Most browsers allow you to block or delete cookies. You can typically find these options under the "Settings" or "Preferences" menu of your browser, in the Privacy or Security section. You can delete cookies that are already on your device and set most browsers to prevent them from being placed. However, be aware that if you disable all cookies (especially essential ones), some parts of our site might not work correctly (for example, the chat might not remember your session, or your language preference will be lost each time).
  • Google Analytics Opt-Out: Google provides an opt-out browser add-on if you want to prevent your data from being used by Google Analytics on any website. You can download it from Google’s site and install it in your browser. (This is an alternative in case you prefer a global opt-out rather than using our site’s consent tools.)

5. Third-Party Cookies and Tools

Some cookies and tracking technologies on our site come from third parties:

  • Google Analytics: Google’s privacy policy is available at Google’s website. Google may process data in multiple jurisdictions. We have configured GA with privacy in mind (IP anonymization, no sharing with other Google services), and we rely on your consent before using it.
  • Matomo: Our Matomo is self-hosted; data stays with us. Matomo follows GDPR guidelines for analytics.
  • Umami: Self-hosted and built for privacy – it does not collect personal data nor use cookies. More information can be found on Umami’s official documentation.
  • Embedded Content: Currently, our site doesn’t heavily use embedded third-party content. If in the future we embed videos (e.g., YouTube) or maps, those providers might set cookies too. We would update this policy and our consent banner to cover any new cookies.

We do not use advertising cookies or social media “tracking pixels” at this time. If that changes, we will ask for consent and explain their use here.

6. Updates to this Cookie Policy

We may update this Cookie Policy to reflect changes in the cookies we use or for other operational or legal reasons. When we post changes, we will revise the "last updated" date. Significant changes may be communicated via our website or by re-displaying the cookie banner to you. We encourage you to review this policy periodically.
