Managed CRM for coaches
FRAI starts from a proven coaching CRM platform, then maps and implements your package, booking, attendance, cancellation, renewal, and communication logic.
From €1,500 setup€249/month managed

01 — YOUR BUSINESS RULES, BUILT IN
Tell us how your coaching business works. FRAI maps and builds that logic into your CRM.
Your rule
“Start the 90-day package on the first attended session.”
Your CRM follows it
Your rules. Built into your CRM.
02 — Client and package control
Open a client and see what they bought, sessions used and remaining, the next appointment, recent communication, and the recommended follow-up. The rules behind those numbers are yours—you explain them once, we build them in:
How many sessions or credits a package includes
How long a package stays valid before it expires
How attendance and absences are counted
What happens when a client cancels or reschedules
When pauses or exceptions are allowed
When a client is reminded to renew

03 — Purchase and onboarding
WooCommerce is one example. FRAI can connect an approved checkout, form, or platform that sends structured data to the CRM. From there, the same controlled onboarding sequence runs automatically.
01 Entry received
An approved structured payload sends the CRM the order reference, client details, and purchased product.
02 Client resolved
This keeps one continuous client history and prevents duplicate records.
New clientCreate the record and start the agreed welcome action.
Returning clientAttach the purchase to the existing history.
03 Package activated
The product is mapped to the agreed package, its opening balance is created, and the next action is ready.
One connected entry creates the operational starting point: one client history, one active package, and the correct next action—without rebuilding the purchase by hand.
04 — Appointments and booking
Every booking links to the client and package. The coach records attendance directly in the CRM; from that single action, the remaining balance and next step are recalculated automatically.
One appointment page connected to the CRM
Bookings linked to the client and package balance
Fast attendance entry with automatic balance recalculation
A client-facing booking page with your availability and your booking rules

05 — Standard commercial scope
The platform already runs a live coaching business today. We implement your agreed rules on top and stay responsible after go-live.
Excluding VAT. Paid 50% to start and 50% before go-live.
Excluding VAT. A 12-month initial term begins at go-live.
Extra stores, complex data cleaning, custom payment logic, new integrations, bespoke reporting, or material workflow changes are assessed and quoted separately. No fixed uptime or recovery-time commitment is included in this standard package.
Covered by the results-first guarantee. Read the policy
06 — Fit, not feature count
07 — Implementation
You explain how you sell, deliver, cancel, pause, and renew. We document the rules the CRM will follow.
Document what is included, assumptions, migration format, responsibilities, and final price.
We build your rules into the CRM and connect the approved tools.
Import the agreed data, test the core workflow, and train the team.
Monthly service begins when the accepted CRM goes live.
08 — Client evidence
One coaching business had outgrown using ActiveCampaign as its operational CRM. We connected its WooCommerce sales, packages, attendance, and follow-up—the case study below documents what changed.
New WooCommerce orders had to be checked, then the client and package information was reconstructed by hand around ActiveCampaign.
Purchases register clients and package credits automatically, and the CRM shows what should happen next.
09 — Questions before you decide
It is a client-management system built around how you actually coach: your packages, appointments, remaining sessions, communications, and renewal rules—not a generic sales pipeline with fixed stages.
No. Self-service tools hand you a fixed system to configure yourself. FRAI does the opposite: you explain your rules once, we build them in, and we run the CRM for you—hosting, monitoring, maintenance, backups, support.
The platform—hosting, security, and core screens—is proven and shared. FRAI maps and implements the agreed behaviour around your rules: packages, expiry, attendance, cancellations, booking, renewal timing, and email. You never touch a settings panel.
Yes. WooCommerce is one example of the approved checkout or structured-data entry source included in the standard setup. Once connected, an accepted purchase can create or update the client and activate the appropriate package rules.
Possibly. FRAI first checks whether it can send the required structured data reliably and reviews its API or webhook, authentication, and data quality. A non-standard or additional integration is quoted separately.
Yes. You tell us the package size, validity, and attendance rules. The coach records attendance in the CRM, which then recalculates the remaining sessions automatically. One agreed package-rule model is included in the standard scope.
The standard scope includes one appointment page and connects bookings to the relevant client and package record.
Yes. The CRM includes one email sender, up to five initial templates, communication history, and one agreed commercial lifecycle automation covering renewal and the defined upsell or cross-sell actions.
Yes. One standard import is included when the source data can be supplied in an agreed CSV or equivalent structured format. Complex cleaning or multiple sources may require additional scope.
The managed service includes corrective maintenance and support during the published support window, Monday to Friday, 09:00–17:00 Europe/Madrid, excluding holidays.
The managed service has a 12-month initial term from go-live. Monthly billing begins when the CRM goes live, not during the setup phase.
The coaching business owns its client data. FRAI owns the underlying platform and provides a standard CSV or JSON export at exit.
The standard offer starts from €1,500 setup plus €249 per month, excluding VAT. The confirmed proposal depends on the workflow, data migration, and integrations approved during assessment.
